In the role of Executive Administrative Assistant, you’ll be a key part of the Harvard Club of the UAE team. You’ll report to the President and Board Secretary, handling tasks like scheduling meetings, overseeing social media, and aiding in event coordination. You’ll also be the go-to person for HC Membership and connecting with Harvard alumni. Your role is vital in keeping things running smoothly.
- Meetings: Organize and manage various meetings, including board meetings, task force meetings, committee meetings, and Ivy League meetings.
- HC UAE Initiatives: Assist in coordinating HC UAE initiatives such as Academic Outreach and the Harvard Book Prize.
- Social Media Management: Oversee and maintain the Harvard Club’s social media presence on various platforms.
- Communication: Screen and field telephone calls and emails, maintain task lists and provide daily updates to your supervisor.
- Membership Management: Handle email communication with HC Membership and maintain/update the Membership Database.
- Correspondence: Complete all Harvard Club of the UAE correspondence and maintain/update membership files and the club’s website.
- Harvard Alumni Association Coordination: Act as the point person for coordination with the Harvard Alumni Association and complete necessary HAA annual reports.
- Event Coordination: Facilitate HC UAE events, including various gatherings and alumni events, managing planning, registration, venue sourcing, payment setup, and marketing coordination.
- Availability: Be prepared to attend weekend and evening meetings and events as required.
- Additional Duties: Perform other duties as requested by the HC UAE leadership.
To excel in this role, you must have a keen eye for detail, ensuring precise work. Adaptability is key, as you’ll need to adjust to changing priorities. Strong communication and writing skills are a must, helping you effectively interact with different stakeholders. Staying organized and meeting deadlines is essential. Experience in project coordination and proficiency in Microsoft Office is valuable.
Handling social media and conducting online research is part of the job. Collaboration with various groups is key, so being a team player is important. Discretion in handling sensitive info is crucial, and being available for HC UAE events, even on weekends and evenings, is a requirement.
Fluency in English and Arabic is a bonus. Being skilled at handling financial transactions and accounts is a key requirement.
- 20 Office Hours/Week: 9 am – 1 pm, Sun to Thu.
3-4 Meetings/Month: Scheduled.
3-4 Events/Month: Scheduled.
Remote Work: Possible.
Weekend/Evening Availability: Required for meetings/events.
During the hiring process, This company has a probation period lasting three months. Also, candidates are required to possess their own UAE Residency Visa.
